HVAC Dispatcher

Grande Aire Services is seeking a highly organized and customer-focused Dispatcher to join our team. In this role, you will serve as the primary liaison between our customers and field technicians, ensuring exceptional customer service while coordinating daily service operations. HVAC Dispatcher Key Responsibilities:

• Answer and manage incoming customer phone calls, emails, and online service requests in a professional and courteous manner.
• Schedule, dispatch, and coordinate field technicians for service calls, maintenance, and repairs.
• Prioritize emergency and high-priority service requests to ensure timely response.
• Communicate job details, schedule updates, and route changes to technicians and management in real time.
• Monitor technician schedules, job progress, and completion times throughout the day.
• Maintain accurate customer records, appointments, and job information in ServiceTitan.
• Provide customers with appointment confirmations, arrival updates, and post-service follow-up as needed.
• Coordinate parts orders and ensure technicians have the necessary equipment and materials to complete assigned work.
• Resolve scheduling conflicts and customer concerns with professionalism and urgency.
• Assist with work orders, invoices, and other administrative documentation.
• Collaborate with team members to improve scheduling efficiency and deliver an outstanding customer experience.

HVAC Dispatcher Qualifications:

• Previous dispatching, scheduling, or customer service experience preferred (HVAC, plumbing, or home services experience is a plus).
• Experience using ServiceTitan or similar dispatching software preferred.
• Strong organizational skills with the ability to manage multiple priorities simultaneously.
• Excellent verbal and written communication skills.
• Ability to remain calm, professional, and solution-oriented in a fast-paced environment.
• Proficiency with Microsoft Office and general computer applications.
• High attention to detail and accuracy.

Dispatcher Job Details 

• Office-based position.
• Regular schedule: Monday through Friday, 7:30 AM – 5:00 PM.
• Participation in a rotating Saturday schedule is required.
• Occasional overtime may be required based on business needs.
